Charter Bus Cancellation and Refund Policy

This policy explains the standard cancellation charges that may apply after a charter bus or private transportation reservation has been confirmed. The quotation or signed agreement for an individual booking takes priority when it states different conditions.

When this policy applies

A reservation is considered confirmed after the required deposit or payment is received and written confirmation is issued.

Cancellation charges are normally calculated from the total confirmed contract amount, including all vehicles and service days affected by the cancellation.

Written booking terms take priority

Always review the cancellation section in your quotation or agreement. Special vehicles, peak dates, large events and third-party services may have stricter non-refundable conditions.

Standard cancellation charge schedule

Unless different terms are written in the confirmed quotation or agreement, the following schedule may apply.

1 day before service 80% of the confirmed contract amount
Service day or no-show 90% of the confirmed contract amount

The effective cancellation date is the date and time the written notice is received and acknowledged. Time calculations follow Korea Standard Time unless the agreement states otherwise.

How to submit a cancellation request

Cancellation must be communicated clearly and in writing.

  1. Send the reservation name, service date, itinerary and quotation or contract reference.
  2. State whether the entire reservation or only specific vehicles or service days are cancelled.
  3. Send the request by email and, for urgent cases, also notify BusKorea through WhatsApp.
  4. Keep the written acknowledgement showing the effective cancellation date and applicable charge.

Changes that may be treated as cancellation

A booking modification can create cancellation costs when confirmed resources can no longer be used.

Date change

Moving the service to another date is subject to vehicle availability and may require cancellation and a new quotation.

Vehicle reduction

Removing one or more confirmed vehicles may be treated as partial cancellation for those vehicles.

Service-day reduction

Removing confirmed operating days from a multi-day program may create partial cancellation charges.

Major route change

Changing the destination, finish city or service purpose can require a new price and may affect committed operating costs.

Passenger reduction

A lower passenger count does not automatically reduce the price when the confirmed vehicle remains reserved.

Late pickup or no-show

Failure to appear at the agreed time and location may be treated as same-day cancellation or no-show.

Refund calculation and processing

Any refundable balance is calculated after applicable cancellation charges and non-refundable costs are deducted.

  • The original deposit is applied toward the cancellation charge.
  • Already-paid supplier, parking permit, coordinator, guide or special vehicle costs may be non-refundable.
  • Card, PayPal, international wire, foreign-exchange and intermediary-bank fees may not be refundable.
  • Refunds are generally returned through an agreed practical method after bank and payment details are confirmed.
  • A refund may take additional time when overseas banking or payment processors are involved.
  • If the cancellation charge exceeds the amount already paid, the remaining cancellation balance may still be due.

Weather, flight disruption and force majeure

Bad weather or travel disruption does not automatically cancel a confirmed vehicle without charge.

  • Rain, snow, heat, traffic and ordinary flight delays are generally considered foreseeable travel conditions.
  • The vehicle may still incur dispatch, driver, parking, accommodation or repositioning costs even when passengers cannot use the service.
  • When operation is legally or physically impossible, the parties will review the actual committed costs and available alternatives.
  • Flight cancellation may allow a time or date adjustment only when vehicle availability and operating conditions permit.
  • Government restrictions, natural disasters and other exceptional events are reviewed individually under the written agreement.

Cancellation policy questions

Is the deposit always non-refundable?

The deposit is applied to the cancellation charge and committed costs. Any remaining refundable amount depends on the cancellation timing and written booking terms.

How is the cancellation date calculated?

It is based on when BusKorea receives and acknowledges written notice, using Korea Standard Time unless otherwise agreed.

Can I move the reservation to another date without a fee?

A date change depends on vehicle availability and supplier commitments. It may require a new quotation and cancellation charges for the original date.

What if only one bus is cancelled?

The cancellation charge may be calculated on the confirmed amount for the affected vehicle and service days.

Do cancellation fees apply when passenger numbers decrease?

Not automatically. If the same vehicle remains reserved, the confirmed vehicle price generally remains unchanged.

What happens if our flight is cancelled?

Contact BusKorea immediately. Rescheduling may be possible, but vehicle and driver costs already committed may still apply.

What is considered a no-show?

A no-show occurs when the group does not appear or cannot be contacted within the agreed pickup and waiting conditions.

Are payment-processing fees refunded?

Card, PayPal, currency-conversion, transfer and intermediary fees may not be recoverable and can be deducted from the refund.

Can a cancelled service be transferred to another group?

Only with prior written approval. Vehicle availability, client verification, itinerary and contract conditions must be reviewed again.

Which policy applies if my contract has different terms?

The cancellation terms written in the confirmed quotation or signed agreement take priority for that reservation.
