Charter Bus Terms and Conditions

These terms apply to charter bus, minibus, premium van, airport transfer and related private transportation services arranged through BusKorea.com, operated by NEWFREN – YourBus Korea.

Agreement and priority of written terms

The customer’s confirmed quotation, invoice, service agreement, written itinerary and these general terms together form the service agreement.

When a confirmed quotation or individually agreed written condition differs from these general terms, the individually agreed written condition applies to that reservation.

Read the confirmed quotation carefully

The quotation identifies the specific vehicle category, itinerary, price, operating hours, included costs, excluded costs, payment deadline and cancellation conditions.

Service scope

BusKorea coordinates private transportation based on the confirmed itinerary and available licensed transport resources.

  • Airport pickup and drop-off
  • Charter coach, minibus and premium van transportation with professional driver
  • Seoul-area daily service, regional routes and multi-day itineraries
  • Corporate, school, university, MICE, sports and private-group transportation
  • Guide, coordinator, luggage vehicle or support service when separately agreed
  • No self-drive vehicle rental
  • No public-route or scheduled bus service

Quotation and reservation confirmation

A quotation is prepared from the information supplied by the customer.

  1. The customer must provide accurate dates, times, addresses, stops, passengers, luggage and special requirements.
  2. A quotation is an offer for the stated itinerary and validity period, not an automatic vehicle reservation.
  3. Availability may change until the required deposit or payment is received.
  4. The reservation is confirmed only after payment requirements are met and written confirmation is issued.
  5. A material change to the itinerary, vehicle, passenger count or service time may require a revised quotation.
  6. Obvious clerical, calculation or transmission errors may be corrected promptly after discovery.

Vehicle and driver assignment

The confirmed agreement normally guarantees a vehicle category and practical capacity rather than a specific registration number or photographed vehicle.

Representative photos

Website and quotation photos are examples unless an exact vehicle is specifically confirmed in writing.

Final assignment

Final vehicle and driver details are usually provided closer to the service date.

Operational substitution

A vehicle or driver may be replaced because of maintenance, illness, accident, safety or unavoidable operational conditions.

Equivalent category

A replacement should reasonably meet the confirmed category, seating and service requirements.

Partner operators

Managed or partner transport operators may be used to perform the confirmed service.

No early plate guarantee

A registration number provided too early may change and should not be treated as final unless expressly confirmed.

Customer responsibilities

The customer and group representative are responsible for accurate information and reasonable cooperation.

  • Provide accurate contact, itinerary, passenger, luggage and flight information
  • Ensure the group is ready at the agreed pickup time and location
  • Inform BusKorea promptly of delays, flight changes and itinerary changes
  • Follow driver instructions, seat-belt rules, safety requirements and applicable law
  • Prevent passengers from damaging, contaminating or misusing the vehicle
  • Supervise children, students and group members requiring assistance
  • Do not request illegal parking, unsafe driving, prohibited access or operation beyond safe driver limits
  • Pay confirmed charges and approved additional costs by the stated deadline

Operating time, route and additional service

The agreed operating period includes driving, loading, waiting, transfers and other time the vehicle remains assigned to the group.

  • Daily included hours are those written in the quotation and are not assumed from the website reference rate alone.
  • Waiting time normally counts as operating time.
  • Added stops, route changes, extended waiting and late finish may create overtime or additional charges.
  • Early-morning, late-night, weekend, peak-season and event operation may have different pricing.
  • Parking, tolls, permits, driver meals and accommodation are included only when stated.
  • Large vehicles may use nearby legal loading points when direct access is unavailable.
  • Driver rest and safe-operation requirements may require schedule adjustment or an additional driver.
  • The driver may refuse instructions that are illegal, unsafe or outside the confirmed service.

Price and payment

The customer must follow the amounts, deadlines and payment methods stated in the quotation or invoice.

Deposit

A deposit or advance payment is generally required before vehicle allocation is secured.

Balance

The balance may be due before service or payable to the driver in Korean won cash when expressly agreed.

Tax

VAT is included or added as stated in the quotation and according to the payment arrangement.

Processing fees

Card, PayPal, international transfer, foreign-exchange and intermediary-bank fees may be added or borne by the customer.

Additional costs

Approved overtime, parking, tolls, accommodation, meals, route changes and support vehicles may be charged separately.

Late or incomplete payment

Failure to meet the payment deadline may result in release of the vehicle or suspension of unperformed service after reasonable notice.

Changes, cancellation and no-show

Confirmed reservations are based on the agreed resources and operating plan.

  • All material changes should be requested and confirmed in writing.
  • Changes remain subject to vehicle availability, driver limits and revised pricing.
  • Reducing vehicles or service days may be treated as partial cancellation.
  • A lower passenger count does not reduce the price when the same vehicle remains reserved.
  • Failure to appear under the agreed pickup and waiting conditions may be treated as a no-show.
  • Cancellation charges are calculated according to the confirmed quotation and cancellation policy.
  • Payment-processing and already committed third-party costs may be non-refundable.

Passenger conduct, luggage and safety

Safety and legal operation take priority over schedule convenience.

  • Aisles, exits and emergency equipment must remain unobstructed.
  • Luggage must fit within the practical and safe capacity of the assigned vehicle.
  • Undeclared oversized or excessive luggage may require an additional vehicle or may not be transportable.
  • Dangerous, illegal, leaking or improperly packed items are prohibited.
  • Smoking and conduct that creates danger or serious disturbance are prohibited.
  • The customer may be responsible for cleaning, repair or loss caused by passengers.
  • Personal valuables should remain under the passenger’s control whenever practical.
  • The driver may stop or refuse service when continued operation creates a serious safety or legal risk.

Delays, loss and limitation of responsibility

BusKorea will use reasonable care in arranging and coordinating the confirmed service.

  • Travel times are estimates and may be affected by traffic, weather, road closures, police control, events and other external conditions.
  • BusKorea is not responsible for missed flights, trains, meetings or events caused solely by circumstances outside reasonable operational control.
  • The customer should allow reasonable buffer time for airports, traffic and group loading.
  • Liability for lost or damaged personal property depends on the cause, custody and applicable law.
  • BusKorea is not responsible for third-party attractions, hotels, restaurants, airlines, guides or payment providers outside the transportation arrangement.
  • Nothing in these terms excludes responsibility that cannot legally be excluded or limited.
  • Any claim should be reported promptly with reservation details, evidence and the requested resolution.

Governing law and dispute handling

The parties should first attempt to resolve questions or disputes through written communication and a reasonable review of the quotation, itinerary, payment and operating records.

Unless mandatory law or a separately signed agreement requires otherwise, the agreement is interpreted under the laws of the Republic of Korea and disputes are handled by a court with lawful jurisdiction in Korea.

Terms and conditions questions

Does the website price automatically form a contract?

No. Website prices are references. The confirmed written quotation and reservation confirmation determine the specific agreement.

Which document takes priority?

An individually agreed written quotation or contract condition takes priority over a conflicting general term for that reservation.

Can the vehicle or driver change?

Yes, when reasonably required by maintenance, illness, accident, safety or unavoidable operation, with a suitable replacement arranged where possible.

Can the driver refuse a customer request?

Yes, if the request is illegal, unsafe, outside the confirmed itinerary or incompatible with driver rest and vehicle-access requirements.

Does waiting time count as service time?

Normally yes, because the vehicle and driver remain assigned to the group.

Who pays for vehicle damage or excessive cleaning?

The customer may be charged when damage or unusual cleaning is caused by passengers or group property.

Are personal belongings insured by BusKorea?

Passengers should protect their belongings. Responsibility depends on the facts, custody, insurance and applicable law.

Can service be suspended for non-payment?

Unperformed service may be released or suspended after reasonable notice when a required payment is not made by the stated deadline.

What happens if a term is invalid?

The remaining terms continue to apply to the extent legally possible, and the invalid provision is interpreted or replaced consistently with applicable law.

Are translated versions legally different?

Translations are provided for convenience. If wording materially conflicts, the signed agreement and the language expressly designated in that agreement take priority.
